Terms of service
Last updated: 4 November 2026
1. Who these terms are between
These terms are an agreement between you, the business using Kleida, and Kleida Inc., a Canadian company ("Kleida", "we"). By creating an account you accept them. Kleida is for businesses, not for personal use.
2. What Kleida provides
Kleida is software for running a B&B or guesthouse. It covers your website, bookings, calendars, payments, guest messages, ID checks, rental agreements, check-in information, cleaning, supplies and accounts. Each customer gets their own private Kleida, which we host, update and look after. We also help you set it up, move your existing website content across, and learn how to use it.
3. Your account
Keep your sign-in details private, and tell us straight away if you think someone else has used your account. You are responsible for what happens under your account, including the people you invite, such as cleaners or staff.
4. Price and payment
- €49 a month covers your home, or a B&B with up to 3 rooms. Each extra room is €9 a month, and each extra home €18 a month. VAT or sales tax is added on top.
- Pay monthly, or pay yearly and get 2 months free.
- You pay up front. We build your Kleida once your first payment goes through, and each month or year is paid at its start.
- Our plans are sold through Link, Stripe's checkout. Link is the seller of record for your payment: it charges you, works out and pays the VAT or sales tax for your country, and emails your receipts and invoices. Your bank statement shows a charge from LINK.COM.
- If you add rooms or homes, we show you the new price before you agree. The extra for the rest of your current month or year is added to your next bill. If you remove some, the lower price starts from your next bill.
- We'll give you at least 30 days' notice by email before any price change.
- If a payment fails, we'll email you and try again. If it's still unpaid after 14 days, your website stops taking new bookings, and bookings you already have carry on. After 30 days, your website goes offline. After 60 days, we delete your Kleida, and we'll email you a week before. Pay at any time before then and everything comes back as it was.
5. Cancelling
You can cancel at any time. Your plan carries on until the end of the month, or year, you've paid for. We don't refund part-months or part-years. When it ends, your website goes offline, so download anything you want to keep before then. We keep a copy for 30 days in case you change your mind, then delete it. We'll email you a week before.
6. Your guests and your business
- You decide how your guests' information is used, and you are responsible for telling them, for example in your own privacy notice and house rules. Kleida helps you show your rental agreement and collect acceptance.
- Guest card payments and ID checks go through your own Stripe account, under Stripe's terms. Kleida is not a payment provider and never holds your guests' money.
- You are responsible for your prices, taxes such as tourist tax and VAT, licences, and following the rules that apply to renting rooms where you are.
- Kleida connects to calendars on sites such as Airbnb, Booking.com and VRBO. Their rules still apply to bookings made there, and we can't control their systems or delays.
7. Fair use
Please don't use Kleida for anything illegal, to send spam, to break into anyone's systems, or in a way that harms other customers or our service.
8. The optional AI helper
The AI helper is off unless you switch it on. Its suggestions can be wrong, so always check before you act on them. If you switch it on, guest messages are shared with the AI provider you choose, as explained in our privacy policy.
9. Your data
Your data is yours. We handle your guests' information only to provide Kleida, under our data processing agreement, which forms part of these terms. Our privacy policy explains how we handle information about you.
10. Keeping Kleida running
We work hard to keep Kleida available and your data safe, with regular updates and encrypted backups. Occasionally we may need short maintenance breaks, which we'll try to schedule at quiet times. Support is by email from a real person, usually within one working day.
11. Liability
We are not liable for indirect or consequential losses, such as lost bookings, lost profits or lost business opportunities. Our total liability to you for anything arising from these terms or from Kleida, in any 12-month period, is limited to the fees you paid us in that period. Nothing in these terms limits liability that the law does not allow to be limited, such as for fraud.
12. Ending the agreement
We may suspend or end your account if you seriously or repeatedly break these terms, or if we have to by law. Where we can, we'll warn you first and give you time to download your data.
13. Changes to these terms
If we change these terms in a way that matters, we'll email you at least 30 days before the change takes effect. If you don't agree, you can cancel before then.
14. Law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. The courts of Ontario decide any dispute. If the law of the country where your business is based gives you protections that can't be set aside by agreement, those still apply.
